These Terms & Conditions (“Agreement”) govern the relationship between Explore More Travel Services LLC (“we,” “our,” “us”) and you (“client,” “traveler,” “passenger”). By booking a trip with us, you agree to all terms below, so please read them carefully.

 

1. Passenger Agreement

All travelers must accept this Agreement during the booking process. If you book over the phone, we will provide a verbal overview, and a copy will be sent to you via email. Accepting these Terms constitutes acceptance of our Release from Liability, Assumption of Risk, and Binding Arbitration Clause.

2. Services & Reservation Terms

We curate and coordinate travel experiences using third‑party suppliers such as hotels, airlines, cruise lines, and tour operators. While we’ll do everything possible to deliver the itinerary you choose, we cannot control their schedules, pricing, or policies. Services are subject to change without notice. Reservations can be made directly on our website (exploremoretravelservices.com), through our booking partners, or by contacting us at exploremoretravel04@gmail.com

3. Identification

Reservations must be made in your full legal name exactly as it appears on your passport or government ID. If you discover an error after travel documents have been issued, you’re responsible for any name-change fees charged by airlines or suppliers. Even minor spelling corrections may require rebooking and could incur charges up to the full cost of the ticket plus revision fees.

4. Payments

We accept payments online via Stripe, PayPal, or by phone with any major credit/debit card. A signed credit card authorization form is required for all payments. All deposits and payments are processed in U.S. dollars unless otherwise indicated. Your payment will be processed directly by the vendor (hotel, resort, cruise line, or tour operator) associated with your booking. Your card will be charged within 48 hours of submitting the authorization.

5. Refunds & Non-Transferability

All payments made to Explore More Travel Services LLC are non‑refundable and non‑transferable, unless stated otherwise. Because we partner with vendors who enforce strict cancellation policies, we’re unable to recover funds once they’re paid. This allows us to offer competitive package pricing and flexible installment plans.

6. Passports & Visas

It’s your responsibility to determine if a passport or visa is required for your destination. Passports must be valid for at least six (6) months after your return date. Some countries require a full blank “visa” page for stamping. Non‑U.S. citizens should check with the consulate(s) of the countries they plan to visit. We strongly recommend that all cruise passengers carry a valid passport, even on itineraries that may not otherwise require one.

Passport Requirements
I understand that Explore More Travel Services LLC is not responsible for any guest being denied entry into any country. It is the sole responsibility of each traveler to ensure they have the correct and valid travel documents required for entry.

All names on travel documents must exactly match the legal name on the traveler’s government-issued photo ID, and all details must match the information on airline tickets and other travel reservations. Travelers with criminal convictions are responsible for confirming any potential immigration or customs restrictions before booking.

I understand that if I, or anyone in my traveling party, is denied entry for any reason, it will result in the complete financial loss of the trip, with no refunds or reimbursements. A valid passport is required for all international travel, including children and infants, and must be valid for at least six (6) months beyond the return date. Minors traveling without both birth parents must present a notarized permission letter for international travel.

I accept full responsibility for reviewing and meeting all passport requirements and travel advisories from both the United States and the countries I will be visiting.

7. Travel Protection & Insurance

Travel mishaps happen. Missing a vacation is disappointing; losing your investment is worse. We strongly recommend purchasing travel insurance that covers Trip Cancellation, Interruption, Baggage Loss/Delay, and Medical Expenses. You are responsible for selecting and purchasing a suitable policy for domestic or international travel.

Advice to Seek Insurance: Explore More Travel Services LLC strongly advises the client to obtain appropriate travel insurance that covers personal injury and emergency medical expenses. It is the client's responsibility to understand the terms and limitations of their insurance policy. If you decide not to accept travel insurance, an insurance wavier is required.

8. Travel Documents

Once final payment has been received by the due date, we’ll send your travel documents and instructions via email or mail approximately 15 days before departure. If you request paper documents when electronic documents are available, we’ll mail them via USPS 14–21 days prior to departure for a $50 handling fee. A valid street address (no P.O. boxes) is required.

9. Children

All travelers under 18 must be accompanied by an adult. Minimum ages vary by tour:

Most tours: 6 months old.

South Africa & Dubai tours: 12 years old.

European tours: 12 years old.

Cruise tours: 6 months old; children must sail with an adult aged 25+.

Discounts for children sharing a room as a third person may apply to children under 12 on certain Caribbean and Mexico resorts. Adults are responsible for the safety of their children and must provide necessary safety equipment (e.g., car seats) where required. Many countries require notarized permission letters from parents for minors traveling without both parents; please consult your destination’s regulations.

10. Prices

Prices are per person based on shared room occupancy unless clearly specified. They don’t include items of a personal nature (laundry, drinks, optional excursions, passport/visa fees, insurance, or foreign port taxes) unless noted. Prices are correct at the time of publication but may change due to fluctuating airfares and limited-capacity services. If a human or computer error occurs, we reserve the right to reinvoice you for the correct amount. If you choose not to pay the difference, we’ll issue a full refund provided you send written notice within five (5) days of notification.

11. Payments & Cancellation Policies

Deposit: A non‑refundable, non‑transferable deposit is due at the time of reservation. All packages require a deposit unless specified otherwise. The deposit amount and any monthly payment plan details will be clearly noted.

Full Payment: You may pay in full at the time of booking as long as the tour still has available space.

Late Payment: Outstanding balances after the Final Payment Due date (shown on your invoice) will incur a late fee automatically one day after your final payment date. Late fees vary by tour.

Reinstatement of Reservations: If a reservation is cancelled and you wish to reinstate it within 14 days, a $50 service fee for domestic tours ($100 for international tours) applies and must be paid upfront. If services cannot be confirmed after reinstatement, payments will be refunded.

Last-Minute Reservations: Bookings made within 30 days of departure require immediate payment in full by credit or debit card.

If final payment is due within 24 hours, any applicable cancellation penalties apply.

12. Health Requirements

Consult your physician and relevant health authorities (CDC, WHO) for vaccination requirements. Passengers with chronic illness, advanced pregnancy, or physical disabilities should consider whether the tour’s pace and activities are suitable. Any illness that arises before or during travel may result in removal from group activities until medically cleared; costs incurred are the passenger’s responsibility.

13. Luggage & Personal Property

Airline luggage requirements vary by carrier. Checked luggage is usually limited to a combined length + width + height of 62 inches (approx. 23 kg/50 lbs). Excess or overweight baggage fees apply and are your responsibility. We’re not liable for lost, stolen, or delayed baggage—please check with your airline for details and protect valuables in carry-on luggage.

14. Sightseeing & Itinerary Changes

Tours operate rain or shine and may be modified to adjust for daylight hours, climate, or unforeseen closures. Please arrive on time; late arrivals may be treated as “no‑shows” with no refund. While we strive to keep the itinerary intact, we may adjust sequences, substitute hotels, or replace sites due to circumstances beyond our control.

15. Meals

Meals are included only when stated in your itinerary. Special dietary requests must be made in writing at least four (4) weeks before departure; we’ll do our best to accommodate them but cannot guarantee availability.

16. Transfers

Transfers to/from airports and hotels are included only when specified and only if you purchase airfare through us. If you arrange your own flights or deviate from the published itinerary, you’ll need to secure your own transfers. We’re not responsible for missed transfers due to delays beyond one hour; additional arrangements are at your expense.

17. Hotel Accommodations

We request standard twin/double rooms with private facilities unless you specifically ask for a different setup. Bed type requests are not guaranteed. Some hotel rooms, especially triples, quads, or single rooms, may be smaller than standard. Hotel check‑in is usually 3:00 p.m.; check‑out is noon. If a day room is included in your itinerary, check‑out is typically 6:00 p.m. We reserve the right to substitute hotels of equal standard when necessary.

18. Travelers with Disabilities

Please choose itineraries suited to your physical capabilities. You must advise us of any disability or required assistance before booking, and you must travel with someone able to provide personal assistance. Our tour staff, guides, and drivers cannot provide individual care. Escorted tours require participants to follow the Tour Director’s instructions for everyone’s safety; failure to comply may result in removal from the tour at your expense. We’re happy to suggest independent travel options that better meet special needs.

19. Airlines

We’re not responsible for airline policies or services. Flight schedules can change without notice. Penalties for tickets not issued through Explore More Travel Services LLC (domestic or international) are your responsibility. Online reservations may be rebooked to meet minimum connection times or itinerary requirements. Airlines can demand immediate ticket issuance on heavily booked flights; in such cases, we require immediate full payment, overriding previously noted payment schedules. If payment is not received, the airline may cancel your seat, and it may not be reinstated at the same fare. Replacement airfare will be your responsibility.

 Airline Responsibility: Explore More Travel Services, LLC is not responsible for layovers, delays, missed connections, cancellations, schedule changes, or any other airline-related issues. All such matters fall under the sole responsibility of the airline. Any additional costs, schedule adjustments, or disruptions resulting from these issues are the responsibility of the traveler and/or the airline.

20. Airline Tickets

Airline tickets are issued once we receive full payment and are strictly non-refundable. If a ticket must be issued before your final payment due date, we may require a larger non-refundable deposit or full payment.

21. Airline Seat Assignments

Airlines control seat assignments, and group contracts typically only include economy-class seats. If you prefer another class of service (e.g., business or first class), consider booking your own airfare separately and purchasing a “land only” package from us.

22. Airline Frequent Flyer Programs

It’s your responsibility to contact airlines directly regarding mileage eligibility and accrual. Not all fares earn mileage—discounted, promotional, and some code-share flights may not qualify. Even if your class of service usually earns miles, private or “Instant Purchase” fares may yield reduced mileage or none at all. We’ll record your frequent flyer number if provided but cannot confirm or adjust mileage credit or manage your accounts.

23. Airline Name Changes

Any name change, even a minor spelling correction, may require rebooking the flight. Once tickets are issued, changes can incur an airline rebooking fee up to the full value of the ticket plus a $50 revision fee per change. We’re not responsible if a carrier denies boarding due to a name discrepancy. All name changes must be requested in writing.

24. Airline Taxes & Fuel Surcharges

If your package includes airfare, current taxes and fuel surcharges are included. Government‑levied taxes, fees, or fuel surcharges may change before full payment is made. You can avoid increases by paying the balance early so tickets can be issued. Once tickets are issued, they are non-refundable. Some domestic flights overseas require taxes payable locally; these will be specified in your pre‑departure documents.

25. Schedule Changes

Airlines occasionally alter schedules. We will make every effort to inform you about changes before departure. New flight times may require itinerary adjustments. We aren’t responsible for additional costs caused by scheduled changes (e.g., extra hotel nights, transfers, or missed portions of your tour).

26. Liability Disclaimer

Information in our materials is subject to change without notice. We are not liable for indirect, incidental, special, or consequential damages from the use of our services or website. You understand that travel entails inherent risks; you assume full responsibility and release us from liability for injury, illness, loss, or damage sustained during your trip.

Compliance with Local Laws and Safety Instructions: The client is responsible for complying with all local laws and regulations, and for adhering to all safety instructions provided by Explore More Travel Services LLC, its partners, or local authorities.

No Guarantees of Safety: Explore More Travel Services LLC makes no representations or guarantees regarding the safety or conditions of the location visited, transportation used, or activities undertaken during the travel.

Acknowledgement of Risk: Client acknowledges that travel and the activities associated with travel (such as adventure sports, outdoor activities, transportation, and cultural experiences) inherently involve a level of risk to personal health and safety.

Assumption of Risk: By engaging in travel arranged by Explore More Travel Services LLC, the client voluntarily assumes all risks related to such travel and activities.

Release of Lability: To the fullest extent permitted by law, Explore More Travel Services LLC shall not be liable for any injury, loss, damage, or harm suffered by the customer, whether directly or indirectly related to any travel or activities arranged by Explore More Travel Services LLC. This includes, but is not limited to, injuries, losses, or damage arising from the negligence of Explore More Travel Services LLC or its employees, contractors, agents, or representatives.

27. Photographic Release

By participating in our trips, you grant Explore More Travel Services LLC permission to use your image or likeness in promotional materials without compensation.

​

28. Governing Law

This Agreement is governed by the laws of the Commonwealth of Virginia, USA. Any disputes shall be resolved through binding arbitration in Virginia.

29. Changes to Terms and Conditions

Explore More Travel Services LLC reserves the right to update or modify these Terms and Conditions at any time. Any changes will be effective immediately upon posting on our website.
